About the role
The Executive assistant will support executives of a team that is passionately committed to advancing our healthspan through improvements of the air quality in our homes, offices and outdoors.
You will manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters
You will conserve executive’s time by reading, researching, and routing correspondence
You will coordinate travel arrangements, prepare itineraries, plan logistics, and manage expense reports
You will organizing meetings and events, including scheduling, sending reminders, and organizing catering if necessary
You will maintain confidentiality of highly sensitive information
You will manage complex office administrative work requiring the use of independent judgment and initiative
You will complete projects by assigning work to clerical staff and following up on results
performing minor accounting duties
Time management and ability to meet deadlines
Verbal and written communication skills, fluent English and Portuguese
Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
Problem-solving and decision making
Proactivity and self-direction
Strong experience in travel logistics
Proficient in Google office tools (mail, calendar, sheets, slides, etc.), Microsoft Office, Adobe Acrobat, multiple calendars management
Very strong interpersonal skills and the ability to build relationships with key stakeholders
