full time executive assistant required

Who will I be working for?
We are an Irish couple who emigrated to Portugal in January 2021

We own 2 businesses in Ireland which have grown a lot in recent years and we need assistance staying on top of the workload and continue the growth.

The businesses are a software company and a retail company (unrelated to each other). Between both there are approx 40+ staff. As a result we have a lot of meetings, administrative tasks and organisational activities where we need help.

We are currently based in Foz do Arelho with our baby boy. We have a full time assistant for our boy.

What will the role entail?
In short, we are seeking a self motivated person who can look to free up our time to:

1. Focus on growth activities for the businesses
2. Spend quality family time

We need a person who can protect our time from distractions, help prioritise important tasks/meetings and take over other activities which do not require us to complete directly.

We need a team member who understands business and can make decisions on our behalf (following agreed criteria).

Regarding technology, we don’t expect you to know all the apps/technology we use, but there is an expectation that you can figure out how to use general business apps.

Some examples of tasks would include:
Calendar management
Time tracking for projects
Flight/travel arrangement
Manage personal appointments (health, physio, hair, etc)
Handle Portugal Details (ViaVerde, bank, mobile phones, houses, etc)
Car administration (tax, insurance, servicing, valeting)
Payroll administration
Expense entry
Accounts support
Research topics (school, dental, health, house repairs and improvements, etc)
General house assistance (arrange cleaners, shopping, pay bills)

What are the working conditions (eg location, hours, etc)?
We’re based in Foz do Arelho. Ideally we need a person who can work from an office at our house during a set of hours. We can be somewhat flexible on working hours to suit the right individual, for example 7am-3pm, 8am-4pm or 9am-5pm.

All computers and phones will be provided as part of the role.

Other Requirements
– Good English (spoken and written)
– Driving license
– Experience in administration or organisation focused roles

What is the pay?
€14,000-20,000 annually depending on experience, paid monthly.
